A bookkeeping firm looking for monthly clients can buy them in three ways:
- Run an outbound system inside the practice
- Pay an agency to run one
- Purchase leads from a marketplace or directory
This page compares the options that actually work for bookkeepers, with real price bands and the main weakness of each. Entry one is our own product, and we say so up front so you can discount it however you see fit.
| Option | Price | Best for | Weakness |
|---|---|---|---|
| Lead Gen Library system (ours) | About $150 a month in tools | Monthly bookkeeping, payroll and sales-tax filing for 3 to 50 employee businesses | Needs one person free for 5 to 12 discovery calls a month |
| Bookkeeping marketing agency | $1,500 to $4,000 a month | A firm with a marketing line item | Nothing accumulates on your side |
| Bark and Thumbtack | $20 to $60 each | A new practice that needs revenue this month | Shared with 3 to 5 firms; consumer-heavy |
| ProAdvisor and Xero directories | Free with certification | Every firm, as a baseline listing | A few inquiries a month, and ranking favours established firms |
| Apollo | Free tier to about $99 per user a month | Firms that want one tool | The database is static |
| Instantly | $37 to $97 a month | The sending layer of a sourcing system | A well-built empty mailbox on its own |
| Smartlead | Same range as Instantly | Agencies wanting white-label and a unified inbox | You bring the list and the copy |
1. Lead Gen Library system (ours)
Our entry is the bookkeeping firm n8n system documented on this site. It pulls businesses from public records at the moment their books become a problem, finds the owner’s email, and opens with a message that names that specific event and the filing deadline it creates.
The records it pulls:
- A new sales-tax permit
- A fresh Secretary of State registration
- A first office manager posting
- A new commercial lease
Disclosure: we build and sell this, so treat every entry below as a competitor we chose to include.
| Tier | Price |
|---|---|
| Complete spec | Free PDF |
| Importable workflows | $297 |
| Installed for you | $2,997 |
| Operating cost | About $150 a month in tools on n8n Cloud |
- Strength. It fits firms selling monthly bookkeeping, payroll, and sales-tax filing to businesses with 3 to 50 employees.
- Weakness. It needs one person free for 5 to 12 discovery calls a month, and it does not fit practices built on individual 1040 work or tax resolution, because every signal it tracks belongs to a business.
2. A bookkeeping marketing agency
A handful of agencies specialize in accounting and bookkeeping practices, and generalist B2B agencies take the work too. Retainers run $1,500 to $4,000 a month for outbound, local SEO, or paid search.
- Strength. Someone experienced writes the copy, manages the sending domains, and reports monthly.
- Weakness. Nothing accumulates on your side: the list, the domain reputation, and the process belong to the agency, and the leads stop the month you cancel.
- Vetting is on you. Results vary widely at the same price point.
An agency fits a firm with a marketing line item and no partner willing to touch the tooling.
3. Bark and Thumbtack
Bark and Thumbtack sell bookkeeping and accounting leads at roughly $20 to $60 each, paid per lead or through credit packs.
- Strength. Leads start arriving the day you fund the account.
- Weakness: sharing. Each request goes to several competing firms, so you are quoting against 3 to 5 others within the hour.
- Weakness: buyer mix. A large share of requests come from individuals wanting cheap tax prep or a one-time catch-up cleanup.
Firms that answer fast can still close some, but the buyer is rarely the 20-employee company that signs a $1,200 a month engagement.
These platforms fit a new practice that needs any revenue this month and has someone free to respond within minutes.
4. QuickBooks ProAdvisor and Xero advisor directories
The Find-a-ProAdvisor directory from Intuit and the Xero advisor directory are free to list in once you hold the relevant certification or partner status. Both send a steady trickle of inbound requests from business owners already on that software.
- Strength. This is the cheapest bookkeeping-specific channel that exists.
- Weakness: crowding. Ranking depends on review count, certification badges, and location, so a new firm sits below established ones for a year or more.
- Weakness: control. You cannot choose who searches, and volume in most metros is a few inquiries a month.
Every firm should list here; almost none can live on it alone.
5. Apollo
Apollo combines a B2B contact database with email sequencing, priced from a free tier to about $99 per user a month. For a bookkeeper it can filter small companies by size, industry, and location, then email the owner from the same screen.
- Strength. One tool for the filtering and the send.
- Weakness: the database is static. Apollo can list every 5 to 50 employee business in your county, and it has no idea which of them registered last month, just received a sales-tax permit, or posted their first admin role.
- Why that matters. Those events are what make an owner finally hire a bookkeeper.
Apollo fits firms that want one tool and accept sending generic outreach to a cold list.
6. Instantly
Instantly is a cold email sending platform at $37 to $97 a month, with warmup, inbox rotation, and unlimited sending accounts on the upper plans.
- Strength. It handles deliverability well, and deliverability is the whole product.
- Weakness. It does not find prospects, verify emails, or answer replies. On its own it is a well-built empty mailbox.
It fits as the sending layer beneath a sourcing system, which is the role it plays in our own bookkeeping stack.
7. Smartlead
Smartlead sits in the same price range as Instantly and adds a unified inbox across many accounts, white-labeling, and stronger multi-channel support, which matters mostly to agencies.
- Strength. A unified inbox across many accounts, plus white-labeling.
- Weakness. As with Instantly, you bring the list and the copy.
Between the two, pick whichever interface you prefer; either one does the sending job under a system that supplies qualified prospects.
How to choose
Start by listing in the ProAdvisor and Xero directories, because they are free and take an afternoon. Then decide who owns the outbound channel.
- A partner has two hours a month. A self-run system keeps the prospect list, the domain, and the process inside the firm and produces the cheapest exclusive conversations with real businesses.
- Budget exists, attention does not. An agency is the honest answer at its price.
- Revenue has to land this month. Bark or Thumbtack will deliver leads today, shared and consumer-heavy as they are.
The free bookkeeping firm spec lays out our self-run version in full, so you can weigh that path with the real architecture in hand before spending a dollar.
