Commercial cleaning companies buy leads in one of three ways:
- They run their own outbound system
- They hire an agency
- They buy leads from a marketplace
This page compares the realistic options in all three groups, with honest notes on cost and fit. The first entry is our own product, listed with that disclosure up front.
| Option | Price | Best for | Weakness |
|---|---|---|---|
| Lead Gen Library system (ours) | Roughly $100 to $200 a month | Owners who want to own their lead flow | You have to operate the software |
| Lead generation agency | $500 to $2,000 a month | Companies with budget and no time | Stopping the retainer stops the leads |
| Shared lead marketplaces | $15 to $80 each | New companies that need revenue now | Shared with 3 to 5 competitors; 10 to 20% win rates |
| Apollo | Free to about $99 per user a month | Companies wanting a simple all-in-one | Tells you who exists, with no intent signal |
| Instantly | $37 to $97 a month | The sending layer of a larger system | It sends, and that is all it does |
| Smartlead | Similar to Instantly | White-labeling and unified inboxes | It is a sender |
| ZoomInfo | Five figures a year | Regional scale with a dedicated sales team | The price makes no sense for most independents |
1. Lead Gen Library system (ours)
This site publishes a documented n8n system for commercial cleaning: workflows that source facilities decision makers, qualify them, and run a 4-step email sequence from your own domain.
Disclosure: we build and sell this system, so read the rest of the list as the alternatives we compare ourselves against.
| Tier | Price |
|---|---|
| Full spec | Free PDF |
| Importable workflow files | $297 |
| Done-for-you install | $2,997 |
| Running cost | The tool stack, roughly $100 to $200 a month, plus your time |
- Strength. It fits owners who want to own their lead flow and are willing to operate software.
- Weakness. It does not fit anyone who wants leads to simply appear with zero involvement.
2. A lead generation agency
Agencies charge $500 to $2,000 a month for commercial cleaning outbound.
- Strength. The good ones bring practiced copy and deliverability habits.
- Weakness. The trade is control and durability: the list, the domain reputation, and the process usually stay with the agency, so stopping the retainer stops the leads.
Agencies fit companies with budget that want a hands-off channel and accept the ongoing cost.
3. Shared lead marketplaces
Networx, Thumbtack, and similar marketplaces sell janitorial leads for $15 to $80 each.
- Strength. Speed is the appeal: leads arrive the day you sign up.
- Weakness. A typical marketplace lead goes to 3 to 5 competitors, so you are racing to the phone and quoting against everyone else.
- What that costs you. Win rates in the 10 to 20% range are common.
Marketplaces fit new companies that need any revenue now and can chase quotes aggressively.
4. Apollo
Apollo is a contact database with built-in email sequencing, from free to about $99 per user a month. For a cleaning company it covers finding facility and office managers and emailing them, in one tool.
- Strength. One tool for the contact data and the send.
- Weakness: intent. Apollo tells you who exists, and it cannot tell you which buildings just changed management or opened, which is where cleaning contracts actually come from.
Apollo fits companies that want a simple all-in-one and will live with generic targeting.
5. Instantly
Instantly is a cold email sending tool, around $37 to $97 a month, with strong deliverability tooling and unlimited sending accounts on higher plans.
- Strength. It sends well, and that is all it does.
- Weakness. You still need a lead source, list hygiene, and reply handling.
Instantly fits as the sending layer inside a larger system, and this is exactly the role it plays in our own stack.
6. Smartlead
Smartlead competes directly with Instantly at similar pricing, with stronger multi-channel and agency features like white-labeling and unified inboxes.
- Strength. White-labeling and unified inboxes across many accounts.
- Weakness. The same caveat applies: it is a sender.
Choosing between Smartlead and Instantly is a preference call; either works as the delivery layer under a sourcing system.
7. ZoomInfo
ZoomInfo is the enterprise contact database, typically five figures a year.
- Strength. Data quality on mid-size and large facilities is the best available, and intent signals are included on higher tiers.
- Weakness. For most independent cleaning companies the price makes no sense.
It starts fitting at regional scale with a dedicated sales team.
How to choose
Match the option to your real constraint:
- You want the channel and will run software. A self-run system gives the lowest cost per lead and you keep the asset.
- Budget, no time. An agency is the honest choice, priced accordingly.
- Revenue is needed this week. Marketplaces work at the cost of shared leads and thin margins.
The free commercial cleaning spec documents our version of the self-run option in full, so you can judge that path with the actual architecture in front of you before spending anything.
