An accounting firm that wants a steady flow of business clients has three realistic paths:
- Run an outbound system inside the firm
- Hire an agency to run one
- Buy leads from a seller
This list covers the workable options in all three groups, with real pricing bands and an honest weakness for each. The first entry is our own product, disclosed up front so you can weigh the rest of the list accordingly.
| Option | Price | Best for | Weakness |
|---|---|---|---|
| Lead Gen Library system (ours) | About $150 a month in tools | Advisory work sold to operating companies | Needs a partner free for 4 to 10 scoping calls a month |
| B2B marketing agency | $2,000 to $6,000 a month | Firms with budget and no spare attention | List, domain and process stay with the agency |
| Shared lead marketplaces | $75 to $200 each | Firms that need revenue this quarter | Shared with 3 to 5 firms; consumer-heavy |
| Apollo | Free to about $99 per user a month | Firms that want one simple tool | No timing signal on funding, debt or CFO hires |
| Instantly | $37 to $97 a month | The sending layer of a larger system | Sends only; brings no list |
| Smartlead | Similar to Instantly | Agencies wanting white-label and a unified inbox | Sends only; expects you to bring the list |
| ZoomInfo | Five figures a year | Regional scale with a dedicated seat | Price rarely makes sense against a $150 a month stack |
1. Lead Gen Library system (ours)
This site documents an n8n system built for accounting firms: workflows that watch for the moment a company outgrows its bookkeeper, find the founder or CEO, and open the conversation with an email that names the specific filing.
The signals it watches:
- A priced funding round on SEC Form D
- A new bank loan on a UCC filing
- A CFO or controller job posting
- A foreign qualification in a second state
Disclosure: we build and sell this system, so read the remaining entries as the alternatives we compare ourselves against.
| Tier | Price |
|---|---|
| Full spec | Free PDF |
| Importable workflow files | $297 |
| Done-for-you install | $2,997 |
| Running cost | About $150 a month in tools on n8n Cloud |
- Strength. It fits firms selling tax strategy, reviews, audits, and fractional CFO work to operating companies.
- Weakness. It needs a partner able to take 4 to 10 scoping calls a month, and it does not fit firms hunting individual 1040 clients, because every signal it watches belongs to businesses.
2. A B2B marketing agency
Agencies charge accounting firms $2,000 to $6,000 a month for outbound or content retainers.
- Strength. A good one brings practiced positioning, copy, and deliverability habits from day one.
- Weakness. The trade is ownership and durability: the prospect list, the sending domain reputation, and the process usually live with the agency, so ending the retainer ends the lead flow.
- Vetting is on you. Results vary widely between agencies quoting the same price.
Agencies fit firms with a marketing budget that want a hands-off channel and accept that the meter keeps running.
3. Shared accounting lead marketplaces
Ageras, Thumbtack, and similar marketplaces sell accounting and tax leads at roughly $75 to $200 each.
- Strength. Speed, since leads can arrive the same day you fund the account.
- Weakness: sharing. Each lead is typically shared with 3 to 5 competing firms, so you are racing to the phone and quoting against everyone else.
- Weakness: buyer mix. The volume skews heavily toward individuals and businesses under $500K revenue shopping for cheap tax prep, which is the wrong buyer for advisory work.
Marketplaces fit new firms that need any revenue this quarter and have someone free to chase quotes quickly.
4. Apollo
Apollo is a contact database with built-in email sequencing, priced from free to about $99 per user a month. For an accounting firm it covers finding founders and finance leaders at target companies and emailing them from one tool.
- Strength. One tool for both the contact data and the send.
- Weakness: timing. Apollo can list every $2M to $50M company in your state, and it cannot tell you which of them just raised a round, took on bank debt, or posted a CFO role.
- Why that matters. Those events are what make a company change accountants.
Apollo fits firms that want one simple tool and will accept generic targeting.
5. Instantly
Instantly is a cold email sending platform at roughly $37 to $97 a month, with strong deliverability tooling, warmup, and unlimited sending accounts on higher plans.
- Strength. It sends well, and sending is all it does.
- Weakness. You still need a lead source, list hygiene, and someone handling replies.
Instantly works best as the delivery layer inside a larger system, which is exactly the role it plays in our own accounting stack.
6. Smartlead
Smartlead competes directly with Instantly at similar pricing and adds stronger multi-channel and agency features, including white-labeling and a unified inbox across accounts.
- Strength. White-labeling and one inbox across many sending accounts.
- Weakness. The same caveat applies: it is a sender and expects you to bring the list.
Choosing between Smartlead and Instantly is a preference call, and either one works fine as the sending layer under a sourcing system.
7. ZoomInfo
ZoomInfo is the enterprise contact database, typically five figures a year.
- Strength. Its data on mid-size companies and their finance hires is the best available, and higher tiers add buying-intent signals.
- Weakness. For a partner-run practice the price rarely makes sense against a $150 a month self-run stack.
ZoomInfo starts fitting at regional scale, where a dedicated business development seat can work the database full time.
How to choose
Match the option to the constraint you actually have:
- A partner can own it. If the firm wants a durable asset, a self-run system produces the lowest cost per engagement and keeps the list, the domain, and the process in the firm.
- Budget, no spare attention. An agency is the honest choice at its price.
- Revenue has to land this quarter. Marketplaces deliver fast, at the cost of shared and consumer-heavy leads.
The free accounting firm spec documents our version of the self-run option in full, so you can judge that path with the actual architecture in front of you before spending anything.
